How to send virtual tour leads to HubSpot automatically

To send virtual tour leads to HubSpot automatically, connect your tour software to HubSpot once, then turn on auto-sync so every new visitor lands in your CRM as a contact. With Path, you connect HubSpot from the dashboard, and each synced visitor arrives with a summary of their tour conversation and the properties they viewed. This guide covers the setup, what comes across, how to work the leads inside HubSpot and what to do if you are not on HubSpot.

Why tour leads should go straight into your CRM

A virtual tour is often the first real conversation a buyer has with your project. They look at the rooms, ask about fees and finishes, and check the commute. If that lead sits in a separate dashboard until someone exports it on Friday, the moment has passed.

Your sales team already lives in HubSpot. Their tasks, sequences, deal stages and reports are there. When tour visitors show up in the same place, nobody has to copy names between tools, and the context from the tour travels with the contact.

It also keeps your numbers honest. If tour leads never reach the CRM, they never show up in pipeline reports, and the tour looks like it did nothing even when it brought in buyers.

What a tour lead needs before it is worth syncing

A contact in HubSpot is only useful if it has a name and a way to reach the person. Anonymous tour views cannot be synced to anyone.

In Path, every visitor enters a name, a valid email and a valid phone number and ticks a consent box before the tour opens. The consent line tells them their information will be shared with the listing agent. That gives each synced contact real details from the start. Our guide to virtual tour lead capture covers how to set up that gate.

How to connect HubSpot to Path

  1. Open Integrations: In the Path dashboard, go to Settings and open Integrations.

  2. Connect HubSpot: Choose HubSpot and sign in to your HubSpot account to approve the connection. HubSpot connects by OAuth, so you do not paste any keys.

  3. Sync your first visitors: Open Visitor Profiles. Each visitor shows a CRM sync status, and you can sync one visitor at a time or use sync all to send everyone at once.

  4. Turn on auto-sync: Switch on auto-sync so new visitors go to HubSpot without anyone clicking a button.

If you sync someone by mistake, you can unsync them from the same screen.

What comes across to HubSpot

Each visitor is created as a HubSpot contact. Path adds two custom properties to that contact.

  • Summary From Path: a summary of the visitor's tour conversation, so a rep can see what the buyer asked about before picking up the phone.

  • Path Properties Viewed: the properties the visitor toured, which matters when one buyer looks at several of your listings or buildings.

Path also reads the HubSpot deals and pipelines for contacts it has synced, so the two systems stay connected after the first sync.

The full conversation history, the 0-100 Conversion Score and the Hot Leads signals stay in Path's Visitor Profiles. The score adds up engagement, recency and the buyer profile the visitor shared. Our article on buyer intent scoring explains how teams use it to decide who to call first.

How to work tour leads inside HubSpot

Once tour visitors are flowing in, set up HubSpot so they get picked up fast. A few settings do most of the work.

  • Assign an owner: HubSpot's default contact properties include Contact owner, Lead status and Lifecycle stage (as of October 2026). Give each new tour contact an owner so someone is responsible for the follow-up.

  • Use Lead status: HubSpot describes Lead status as where a contact is within a buying cycle as a lead. Move tour contacts from new to attempted to connected as your team works them.

  • Put the summary where reps look: add Summary From Path to the contact record view so reps read it before a call.

  • Build a list or view: filter on Path Properties Viewed to see every buyer who toured a given building.

Before you create any new fields of your own, HubSpot's guide to creating and editing properties recommends checking whether a default property already covers the data. That keeps your CRM clean as more tour leads arrive.

Speed up the first follow-up

Syncing gets the lead into HubSpot. Your team still has to act on it. Path sends a new visitor alert email after a visitor's first interaction, with their details and a summary of the conversation, so the right person knows right away.

Inside Visitor Profiles, the Hot Leads section adds AI-drafted personalized emails and call scripts based on what each buyer asked. A rep can open the visitor, read the script, then log the call in HubSpot. Owners can also get a weekly digest of top visitors and key insights by email, SMS or both. See how sales teams use this on our lead nurture page.

If you do not use HubSpot

Path also connects to Follow Up Boss, which many brokerages use. You paste your Follow Up Boss API key, leads are pushed in with source attribution, Path engagement scores are written to custom fields, and auto-sync is available.

Those are the two CRM integrations Path has today. For any other CRM, Visitor Profiles has a CSV export, so you can download your visitors and import them. It is a manual step, so set a regular time for it, such as every morning. Teams selling new projects can see the wider setup on our developers page.

Frequently asked questions

Do I need a HubSpot API key to connect Path?

No. HubSpot connects by OAuth, so you sign in to HubSpot and approve the connection from Path's Integrations settings.

Can tour leads sync to HubSpot automatically?

Yes. Turn on auto-sync and new visitors are created as HubSpot contacts without a manual step. You can also sync one visitor at a time or sync all.

What information shows up on the HubSpot contact?

The visitor is created as a contact with two custom properties, Summary From Path and Path Properties Viewed. The full conversation history and score stay in Path.

Can I remove a contact I synced by mistake?

Yes. Visitors can be unsynced from Visitor Profiles.

Which other CRMs does Path connect to?

Path connects to HubSpot and Follow Up Boss. For other CRMs, use the CSV export in Visitor Profiles.
